Problem Statement

This is an informal specification of what hospital administrators want from you the company designing a system to help them manage their hospital efficiently and effectively.

`General Problem Statement`

Due to budget cutbacks and general concern for providing the best service possible to the public, Serdang Hospital would like to ensure that they are using their scarce hospital resources in the most efficient manner possible. With this in mind we would like you to design a system which will help them manage their hospital in an efficient, effective manner. Specifically the system should help them schedule and monitor the various resources that they have at the hospital. This includes keeping track of available beds, waiting lists for patients, patients expected length of stay, scheduling of surgeries, patient notification and billing, scheduling of nurses and doctors.

Specification

Information Required

The SHIS must keep track of certain pieces of information required for operation of the hospital. Namely:

Physical Layout of Hospital

The following information provides a more detailed breakdown of how our hospital is organized. The main hospital consists of one building with 8 floors. There are 8 wards which occupy various floors of the hospital. Each of the wards has certain number of beds for patients of that ward.

Admit/Emergency - floor 1 - 50 rooms
Operating - floor 2 - 20 rooms
Geriatrics - floor 3 - 50 rooms
Recovery - floor 4 - 100 rooms
Intensive Care - floor 5 - 50 rooms
Cardiology - floor 6 - 50 rooms
Obstetrics - floor 7 - 50 rooms
Pediatrics - floor 8 - 50 rooms

So the following information is needed:

For the Wards

Floor ward located on.
Type of ward (from types above)
Ward size ( = to number of rooms)
Names of doctors assigned to ward
Names of nurses assigned to ward

For each room

Room No. (Must be unique for every room)
State of room (occupied/available)
Name of patient assigned to room
Assignment date
Expected date of release

Hospital Staff

The hospital staff is composed of doctors and nurses. Each of whom have a specialty in a certain field (same as ward types). The hospital staff also has schedules at the hospital.

Information common to all hostipal staff:

Name (Last Name, First Name)
Address (Full Address, including city, province/state, country)
Phone (Area code, Number)
Staff number (9 digit number) (for payroll purposes)
Schedule to work:(which consists of the following entries)

In addition, nurses also have the following information:

Patient Information

The system should also be able to keep track of certain patient information.

Information common to all patients:

Address (Full Address, including city, province/state, country)

Insurance number (SIN, whatever it is in the states)
Category (Emergency/Non-emergency)
Type of treatment required (For simplicity, same as ward types).

For patients on a waiting list:

Position on waiting list

Date (when put on waiting list)

For patients in a room:

Date expected to leave.

Maintainence and Operations on Information

The following are operations peformed on the previous information. As well, as on retrieval of information.

Must schedule hospital staff according to the following rules:

Staff must not work too many consecutive shifts.
Staff cannot be off work for too many consecutive shifts.
One supervising nurse must be present for each ward at all times and that supervising nurse must have speciality of that ward.
During the day each ward must have 5 regular nurses of which 3 must have speciality of that ward. As well 2 doctors of that speciality must be present.
During the night each ward must have 2 regular nurses of which 1 must have speciality of that ward. As well 1 doctor of that speciality.
Staff cannot be scheduled to work a ward and operate at the same time.

For the operations and operating schedule

2 doctors of appropriate speciality of operation must be present.
2 nurses of appropriate speciality of operation must be present.

Manage the waiting list:

Must be able to add patients to the waiting list
Must be able to take patients off the waiting list:
For those who got spontaneously better just remove from list
For those who got a room, transfer patient info to room.
As patients removed from waiting list, positions must be updated as follows the priority of the patient is how many positions the patient moves in the list.

Add and remove hospital staff:

Note this may mean altering the schedule for every other staff member who is working.

Changing any detail of a patient or staff member.

Retrieval of Informaton

The following must be able to be quickly retrieved from system:

Complete individual information for patients, doctors and nurses.
Be able to extract lists of:

Waiting list (all of it)
Nurses/doctors according to ward number,date level and specialty.
Patients according to ward(which they occupy), date of entry n hospital, and expected date of departure.
Roms according to status and/or ward.

System must generate a notification of admittance to patient on waiting list 2 weeks before date of admittance. Note: the notice of admit. states: - date of admittance

Task

§ All Drawings must be submitted using either Smart Draw, Select Enterprise ,Rational Rose, Argo/UML, Rhapsody, Together/J, MS Visio or any Object oriented support tools Software

§ Introduction by explaining about the problem statement ( 10 marks )

§ Create a Use-Case Diagram analysis model for the SHIS. This should contain a use-case model consisting of a use-case diagram, and a brief description for each use case, along with the actors participating in the use case. ( 15 marks )

§ Draw a 3 tiers Class Diagram depicting the SHIS and explanation. ( 15 marks )

§ Draw an Activity Diagram with and without Swim lanes depicting the SHIS and explanation. ( 20 marks)

§ Draw a Sequence Diagram depicting the SHIS and explanation. ( 15 marks )

SCOPE AND OBJECTIVE
This assignment aims to give you an opportunity to explore key features related to research methodology.

Specifically, the assignment requires that you study the theory/theories that form the basis of a particular area of research and the methodology employed in conducting the research. To complete the assignment, you need to conduct a critical review of FIVE journal articles, all of which are related to ONE specific area of research.
You are required to do the assignment on your own and the paper you hand in should be an original piece of work. Please be reminded that plagiarism in any form will be severely dealt with.

GUIDELINES FOR ASSIGNMENT

Step 1

Choose a specific area of research and write your RESEARCH QUESTIONS. Identify a specific area of research that is of interest to you. This may be related to your students’ learning or of importance to you as a student, or to City University College. Ideally, you should choose a research area that could be developed into a proposal for your intended study later. Before you settle with a specific area of research, it is advisable to go through the recent literature available in the field to determine what has been researched and has not been researched so that your choice is current and worth studying.

Write down your chosen area of research in the form of an appropriate title. A good title should reflect the focus of the research. Ideally, it should incorporate three important aspects, namely the variable(s) investigated, the research setting and the subjects of the study.

Example: · The effects of using hand-phones among IT City University College students. · A study of using Facebook among IT City University College students

Present your rationale for choosing the specific area of research [5 marks]

Step 2

Select readings FIVE journal articles that are directly related to your chosen area of research. All these articles should represent empirical studies from peer-reviewed journals. The articles should also contain different methodological approaches so that you will have a more in depth understanding of the methodological issues related your chosen research area. You can source this type of research articles from the City University College Digital Library.

Confine your search for current articles only, preferably within the past 5 years.

Step 3

Discuss the theoretical basis of the chosen research area Read through the articles and discuss the theory or theories that form the basis of or the foundation for the research.

Your discussion should provide a brief description of the theory/theories and an explanation of their relevance to the focus of the research.

Examine also how the theory/theories are used to guide the research, provide a rational basis for explaining or interpreting the results, make predictions based on the findings, etc. [15 marks]

Step 4

Analyse and synthesize Analyse the research methodology that has been used in the various journal articles you have read, synthesize key issues and write a report. You may focus your report on the following methodological aspects:

Approach: The use of a qualitative or quantitative approach or the use of surveys, experiments, cor relational method, case study method, ethnography, etc.

· Variables: The variables (e.g. independent, dependent and moderating) focused on and how they are related in each study and across the studies. ·

Sample/Participants: The samples and the sampling techniques used and why. ·

Instrumentation: The data collection instruments (e.g. survey questionnaire, tests, observational checklist, etc) and issues related to validity and reliability ·

Research procedures: The data collection procedures. their appropriateness to the focus of the research, their clarity to allow for replication in future studies, etc

In your report, you should compare and contrast the various methodological features in the articles and deliberate on their strengths and weaknesses with the aim of formulating a sound methodological framework for your intended study. [15 marks]

Step 5

Results, Conclusions and Problems faced. Write what are the results that you have found and what are the conclusions that you derived.

Also state the problems that you faced during the entire research project. [5 marks]

You are a Business Executive for an event management company called Dahlia hana Event Sdn. Bhd.. Your company have been selected and entrusted to develop one of the project listed below.

Your client ( Create your own fictional client ) has entrusted you to managed and develop this project on behalf of their interest. They will provide all financial backup for the success of the event. You have to ensure that your master plan is accepted and aligned with their corporate inspirations. Your proposal is the most important deliverables ever to know that the success of the event.

At the moment you have to CREATE your group name and there are only 5 members in the Project Team including you. You are required to conduct an interview to recruit new staff to full fill the company objective in completing the project. Therefore you need to have a list of manpower requirement with specific job descriptions.

The project estimated to cost around RM2 million and will take almost the duration of 8 months to complete from scratch.

You are also to estimate the total cost of implementing the project that your clients have selected.

Your task

2. Introduction about your Client. Who are they, what is their background, etc.

3. Define that Project that you have selected very clearly in terms of scope and functions for the purpose of explaining to your Steering Committee and the Board of Directors. Include objective of project, mission and vision of projects, weaknesses of projects, advantages of your project, Literature Reviews, Methodology and all activities concerns, Here is where you must exploit all the intricate details of your projects such as planning, stage, design, props and cast, and protocols details.

4. Advertise on paper regarding the recruitment. Show the complete layout of the advertisement, which includes address, contacts, telephone number and dead line.

5. Plan to Conduct an Interview.

Which should includes :

Date, venue of interview, Number of candidates, potential candidates names with qualifications and targeted tasks, prepare manpower result and manpower selection.

6. Cost estimation for both

BIS 2011 - Case Study

Case Study 1

OZChem is a Melbourne based company which specialises in the design, development and supply of laboratory equipment for hospitals, universities and the private sector. It needs to be able to supply most items in a very short time frame while more expensive items such as mass spectrometers might take as long as ten days to source and supply. For its complex toxicology systems, OZChem deals with a few approved installers. For almost everything else the company is self-reliant. Like most businesses of its type, OZChem is obliged to maintain relatively high levels of inventory and is heavily dependent on its suppliers to meet delivery schedules. A recent history of late deliveries and frustrated customers has led to OZChem instigating an inquiry into the cause of the problems and the consultant’s report criticised OZChem’s ordering and delivery systems, its management culture and its old fashioned policies and procedures.

Since then much of the senior management of the company has been replaced with younger, more progressive types. The new IS manager, Caroline Black has a good background in IS and an MBA but this the first time that she has had sole responsibility for the IS function. The manager in charge of logistics, Peter Ritchie has risen from the ranks and does not have a university degree. One of the recommendations the consultant’s report made was to examine the feasibility of introducing ERP systems and Caroline produced a strong case for using an ASP to develop and run OZChem’s supply chain management systems using industry standard software. The executive management team supported this initiative and Australasian Systems Solutions was selected to develop and host OZChem’s systems.

In the interim Caroline has been re-engineering OZChem’s internal systems. The company intranet was launched 4 months ago and most internal systems now have web interfaces onto them. With the support of the management group, Caroline has replaced the old stock control system which was specially developed and replaced it with a proprietary system which is compatible with web protocols and services. When she proposed buying an “off the shelf” logistics system, Peter hit the roof. “You think you can just wander down here fresh out of university and tell us how to do our work? I have been running this division for 15 years with no problems that are our fault. I know we have had a few difficulties of late, but we depend on our suppliers, if they let us down, we let our customers down. We could increase stock levels but that would decrease profit. We don’t have that many unhappy customers anyway. This system will have no knowledge of our customers and limited intelligence when it comes to planning deliveries. I know how our customers operate, what they want and how they want it. I will fight this all the way. If you do manage to get the system in place, I promise you that it will not yield the benefits that you expect. It’s just change for the sake of change.” Caroline does not handle confrontation well and simply turned on her heels and walked back to her office.

In her in-tray was a letter from Australasian Systems Solutions saying that the company had been taken over by Total Logistics a large American company that had a relationship with a different software company than that used by Australasian Systems Solutions. The letter explained that there would be some delay in the development of the system but that all OZChem’s supply chain needs would be met in a reasonable time frame. The letter also included an option to cancel the agreement. The next piece of correspondence was a memo which detailed the huge increase in the number of help desk calls as staff struggled with the new intranet and different interfaces onto once familiar systems. Besides the user problems there were technical problems associated with system integration.

At 12 o’clock, Alan, the deputy IS manager asked Caroline if she wanted to go to lunch. He asked how her day had been and listened intently as she told him what was going on. He nodded sympathetically and then paused “I am not sure how to tell you this” he began “but I have been asked if I’d be prepared to take your job. I said that I would need to time to think and I would need to see exactly what was on offer”. Caroline stood up and knocked the remains of Alan’s lunch into his lap “You’re in on it too!” she spat “as soon as men like you see a woman in a position of importance, you just have to undermine her”. Alan slowly stood up and leaned over the table “Your gender has never been an issue for anyone at OZChem,” he snapped. “You have undermined yourself. You created the problems that put you into this situation – you put them right! Just don’t come to me for help”.

Case Study 2

Blue Books is a sizeable high street bookshop in Sydney. It has occupies several floors of a prime high street location. In addition to selling books it also sells videos, DVDs and CDs and has a coffee shop on the fifth floor. Blue Books has a history of innovation, it was the first bookshop in Sydney with electronic point of sales systems, and the first to provide customers with PC based catalogue browsing instore. Increased competition and declining profit margins led to the move into CDs and DVDs and more recently into select, upmarket stationary. A large amount of Blue Books’ business is derived from overseas visitors to Sydney but there is a substantial local customer base and repeat business from Australian visitors to the store.

There are 16 checkout positions, most of which have two electronic cash registers linked to a central database. The cash registers have limited processing power and can not access the inventory system directly to answer customer queries. The systems has worked very well for the last 6 years but the hardware started to show signs of failure The software is efficient but limited and it is very difficult to carry out data capture on customers or to carry out sophisticated queries on the database for marketing purposes. Blue Books is a good business but in order to maintain its health it needs to market and merchandise more effectively and this means replacing the exist hardware and software with something which is better aligned with the business plan. Consequently a replacement system has been commissioned.

Eric Kruger handles all IS/IT support for the Sydney store. He was closely involved in the development of the system which is now due for replacement. He was promoted to the position of IT manager two years ago. He started at Blue Books nine years ago, joining the company after graduating with first class honours in Computer Science. He has since completed a Graduate Diploma in Business with a view to taking an MBA at a later date. The directors decided to put Eric in charge of the project to replace the older hardware and software and has he has been told to reduce costs where possible.

Eric has followed a traditional systems development approach and has taken the trouble to confirm the user requirements for an integrated software system that can handle sales, inventory, transaction processing, and marketing. The software uses a single server and PCs with barcode readers to function. The company offered to provide a turnkey (ready to use) system for around $360,000 AUD (include installation) with ongoing software and network licensing costs of $80,000 AUD per year. Eric has taken the trouble to price up everything that he would need to build the system and realises that he could save over $60,000 by sourcing all the equipment locally and bringing in contract staff to handle the changeover. His procurement list included a new network, PCs to use as both electronic tills and for handling customer enquiries, a further 12 PCs placed on the shop floor to allow customers to browse the online catalogue and to place orders. The database server is a state of the art dual processor model. Eric made sure that he specified conformance to the network and hardware standards specified by the software supplier in his purchase orders. Sensibly, he has arranged for the system to be installed over a long weekend. Since the networking cabling was upgraded two years ago, it is quite capable of supporting the new systems and does not need to be replaced, however the new system requires updated networking software.

Work began on dismantling the old system as soon as the store closed its doors on Friday evening and by midnight this part of the project was complete. By 9.00am on Saturday the new hardware is in place and the software has been installed. The project is nearly 20 hours ahead of schedule. Eric tests the system by scanning a book – and finds that it fails to operate. Realising that he has only a short period of time to sort the problems out, he telephones the software company, the business that supplied the server, the PC supplier and the network software vendor in an effort to understand the problem. The network people blame the server company, the server company in turn point to problems with the PCs and networking. The PC company say that they manufacture to widely used, international standards and have never had any such problems before. The network software company points out that its product is used world wide in many different applications.

Eric realises that he has two and a half days in which to sort this problem out or his future with the company looks bleak. It crosses his mind to walk off the job and tender his resignation. Right now he has 6 contract staff standing around waiting for instructions.

Later, Eric managed to pull the problem off by having a close discussion with his 6 contract staff. Actually one of them is Martin Webster a network wizard that nobody knew. In just 2 days, the entire team managed to solve all the problems and got to use the systems before the higher management knowing.

Then 6 months later, the Higher Management agreed to another major project with millions of funds will be pumped into the store. The Higher Management planned to embark in an E-business retailing, which Eric is not familiar with about running a business through the web.

Always have an Email Subject Heading
Always write a short message describing the purpose of that email. You are considered rude if you do not write anything at all!
Always write your name at the end of your message to indicate who is it from. There are some email address that does not reflect your name eg darthvader@gmail.com
Do not CAPITALIZE because it is almost as if you are SHOUTING!

I want you to start becoming an effective Project Manager from writing proper emails.

Suppose that you are required to implement a system for a car dealership.
The system needs to store information about each customer.
This includes the customer’s ID number, name, address and contact number. The dealership sells both used and new cars. For all cars the registration number, year, make cost price and selling price must be stored. The dealership sells both new and used cars. Information regarding the previous owner, i.e. the contact person’s name and number, must also be stored for
each used vehicle.
The selling price of a car is calculated to the cost price plus a percentage markup of the cost price, i.e. selling price = cost price + cost price x markup percent.

An international airport requires a system to keep track of flight details for customers.
For each flight the system needs to store the flight number, destination, departure time,
departure gate, airline and flight cost.
Some flights are direct flights, i.e. they fly non-stop to the destination and some fly via another airport to their destination. We will call these flights indirect flights.
In this case the flight stops at an airport en route to its destination to refuel. In the case of indirect flights information regarding the transit airport must also be stored.
The flight cost is calculated to be the cost charged by the airline per customer plus a percentage of this amount (the profit_rate). In the case of indirect flights an additional levy must be added to this amount per customer in order to cover refuelling levies at the transit airport. Furthermore, on some flights additional passengers can board the plane at the transit airport. The system needs to keep track of whether boarding will take place at the transit airport or not. The system also needs to store details of the aircraft used for a flight. The aircraft make, model and capacity (number of passengers that it can carry), must be stored for each aircraft.

Earth Day, celebrated April 22, is a day designed to inspire awareness and appreciation for the Earth's environment. It is held annually during both spring in the northern hemisphere and autumn in the southern hemisphere.
